Choosing a platform

Every platform says it has AI. Ask what it's allowed to do.

Here's the fastest way to cut through an event-software demo. Ask one question: can my AI actually change something — move a session, issue a refund — and who approves it? Most reps will change the subject. This page is what happens when you don't let them.

Today you get to pick which problem you'd rather have.

Every conference team lands in one of three camps. Each solves something real. Each charges you somewhere else.

01

Enterprise suites

Everything, eventually. Deep capability reached through long configuration cycles, formal training, and an implementation measured in months.

02

Mid-market platforms

Faster to launch and friendlier to use, with capability ceilings you find later — and pricing that moves with your headcount.

03

Stitched-together tools

One good tool per job, five to ten of them, and a person whose real job is retyping the same speaker into all of them.

The fourth option

One system that holds the whole event, that you set up in an afternoon by talking to it, where the money lands in your own account and the AI needs your approval before it changes anything that matters.

The whole feature list. Side by side.

No cherry-picking. Registration through badge printing through budgets through AI. Where we're not there yet, the cell says “coming soon,” because you'd find out anyway.

Category columns describe common patterns across widely used products in each segment as of July 2026, based on publicly available product documentation. They are generalizations, not statements about any particular vendor — individual products vary, and packaging changes often. Verify against the specific platform you are evaluating.

Five questions worth asking every vendor. Including us.

Print them. Bring them to every call you take this quarter. The answers sort the category faster than any feature grid — ours included.

01

What is the number on the contract — all of it?

Ask for setup, integration, training, support tier, per-registration charges, and payment processing in one figure. The advertised rate is usually the floor.

02

Who holds the ticket money, and until when?

If the platform collects on your behalf, ask when it lands. Deposits and marketing come due long before the doors open.

03

How long until our first event is live?

Ask for a date, not a range — and whether reaching it requires paid onboarding.

04

Can we leave with our data?

Ask what a full export contains, what it costs, and whether the API needs an engineer.

05

Can the AI actually change something?

Most assistants read and draft. Ask whether it can move a session or issue a refund — and who approves that before it happens.

Two kinds of buyers. One honest answer for each.

If you need a decade-long enterprise track record and an on-site support army, buy the big suite — genuinely. If you want the event system your AI can actually run, or one you can put your own name on, keep reading.

Event organizers

Run your conference by asking, not clicking

You own the outcome: planned, published, sold out, delivered, improved. Connect the AI you already use and hand it the busywork — you keep the approvals.

Technology companies

Embed a full conference platform in your product

White-label the whole thing: your brand, your customers' provider accounts, isolated deployments, and an API and MCP surface your own systems can build on.

The practical difference

Give your AI the context and the controls to run the event.
